You have the right to make a complaint at any time to the Information Commissioner's Office (ICO) at www.ico.org.uk. We would appreciate the chance to address your concerns first.

When this policy applies

This policy applies when Yopla acts as a data controller, meaning we decide why and how personal data is processed.

That includes when you:

  • Visit our website
  • Contact us or request information
  • Subscribe to communications
  • Attend an event or workshop
  • Enter into a contract with us
  • Apply for a role

When we process personal data on behalf of customers, for example inside a client workspace, report or survey, we act as a data processor. In those cases, our Data Processing Agreement applies instead.

What data we collect

We may collect:

  • Contact details. Name, email address, phone number, company name, job title.
  • Communication records. Messages, enquiry forms, meeting notes.
  • Website usage data. Pages visited, referral source, device and browser information.
  • Billing information. Payment details, invoicing records.
  • Marketing preferences. Opt-in status, content interests.

We do not collect special category data (health, ethnicity, political opinions, etc.) or criminal offence data.

Why we process it

We process personal data to:

  • Respond to enquiries and requests
  • Deliver and manage our services
  • Administer contracts and billing
  • Improve our website and content
  • Send relevant communications where permitted
  • Meet legal and regulatory obligations

Our legal bases include:

  • Contract. Processing necessary to fulfil an agreement with you.
  • Legitimate interest. Processing reasonably expected as part of running our business, where it does not override your rights.
  • Consent. Where you have opted in, for example to marketing communications.
  • Legal obligation. Where we are required to process data by law.

Marketing

You will receive marketing communications from us only where you have opted in or where we have a legitimate interest to contact you.

You may unsubscribe at any time by contacting team@yopla.co.uk or using the unsubscribe link in any email.

Cookies and analytics

We use cookies to operate the website, measure performance, and improve your experience.

Sharing data with third parties

We may share personal data with:

  • Trusted service providers who support our operations (subject to confidentiality obligations)
  • Professional advisers where required
  • Regulatory authorities where required by law

We do not sell personal data.

In the event of a change of ownership or acquisition, personal data may be shared with interested parties in connection with that transaction.

International transfers

Your data may be stored or processed outside the UK where our service providers operate. Where this occurs, we select providers that maintain recognised transfer safeguards such as adequacy decisions, Standard Contractual Clauses, or International Data Transfer Agreements, as part of their own data protection frameworks. We review these safeguards periodically.

How long we retain data

We retain personal data only as long as necessary for the purpose it was collected. We may retain data for a longer period if there is a complaint or a reasonable prospect of litigation.

Your rights

Under data protection law, you have the right to:

  • Access. Your personal data.
  • Rectify. Inaccurate data.
  • Erase. Your data in certain circumstances.
  • Restrict. Processing.
  • Object. To processing based on legitimate interest.
  • Port. Your data to another provider.

To exercise any of these rights, contact team@yopla.co.uk.

You will not normally have to pay a fee. We may refuse requests that are clearly unfounded or excessive.

We keep this policy under review and will publish updates on this page. Continued use of our services constitutes acceptance of any modifications.

All uses of the word "including" mean "including but not limited to". Email addresses provided in this policy may be used solely for their stated purpose.
